Registration/scrapping of equipment

Registration of facilities (apparatus)

Registration of facilities (apparatus) is being taken care of by AU Accounting, Creditor.
The procedure is described below.

When the accounting office evaluates that the purchase covers facilities (apparatus), they will attach a form for the registration of facilities (apparatus) in IndFak.

If you are dealing with a purchase that should not be registered as a facility, you write this in the space for comments. If the goods are purchased through AU-IT (and the amount is below DKK 25,000) the facility has been registered, in which case you write this in the space for comments. The invoicing process then continues as for other types of goods.

Any facility costing DKK 10,000 and more (not including VAT) must be registered following the above procedure. In addition, any type of goods that are prone to theft and cost DKK 3,000 or more (not including VAT) must also be registered.

Procedure for registration of facilities (apparatus):

  • The invoice manager attaches the registration form to IndFak and sends it to the buyer for him/her to fill out.
  • The  buyer fills out the relevant information and attaches the updated form to IndFak.
  • Remember to add the AU registration number. Do not add a Navision facility number.
  • Under "Fritekst 1": write the name of the group responsible and the purchaser.
  • Under "Fritekst 2": write the name of the company where the product was bought.
  • Under "Fritekst 3": write the price of the product and the date of purchase.
  • AU-reg. no. labels are located in the Science Park's copying room (bldg. 3130, first floor), and at Biokæden at the secretariat.
  • Then confirm receipt of the goods.
  • Chose a "disponent" (clerk) at AU Account Creditor, who will make sure that the facility is registered in Navision.
    If you have an item which should not be registered, please write this in the comments space, and continue with the invoicing process.

Discarding a facility/apparatus

The person discarding the facility/apparatus must fill out the cancellation form ("Afmeldingsskema").

Send the form to Anette Kjems who will cancel the registration in the NS-facility.

THE SCIENCE PARK

  • Electrical scrap (covers everything that uses electricity, whether it is a timer for batteries or a centrifuge at 230): computers, monitors, wires, coffee makers, microwave ovens, etc.
    Please make sure that your computer - or particular instrument - is clean and safe to transport.
    Place in iron cage in the basement of the building 3 (3133) (the former cold storage)
  • Fluorescent tubes and energy saving light bulbs
    Placed in the blue container in the basement of the building 3 (3133) (the former cold storage)
  • Batteries
    Placed in the battery box in the copy room
  • Iron/glass
    Place in container in the bike shed
  • Paper/cardboard
    Place in container in the parking lot
  • Other combustibles (incl. CDs, etc.)
    Place in container in the parking lot

"BIOKÆDEN" (campus)

  • Electrical scrap
    Place in iron cage in the refuse storage area in room 148, building 1135
    Covers everything that uses electricity, whether it is a timer for batteries or a centrifuge at 230): computers, monitors, wires, coffee makers, microwave ovens, etc.
    Please make sure that your computer - or particular instrument - is clean and safe to transport.
  • Fluorescent tubes and energy saving light bulbs
    Are changed by the janitors, see contact information by the elevator
  • Batteries
    Place in the battery box at the entrance to buildings 1130 and 1131 marked "batterier" or in the blue barrel by the iron cage in room 148, building 1135.
  • Iron
    Place in container in the workshop.
  • Glass
    Put in the glass container by room 148, building 1135.
  • Paper/cardboard
    Put in the bags in the corridors, large items (boxes) should be placed by the elevators and will picked up by the janitors.
  • Other combustibles (incl. CDs, etc.)
    Put in the bags in the corridors, large items should be placed in the container on the parking lot outside building 1131.

Aarhus University has made an agreement with Aarhus Kommune to handle the discarding of computer/electronics/apparaturs waste. All apparatus/computers must be transported to the waste dumps where it will be recycled or destroyed. Make sure that the computer - or especially the apparatus - is clean and safe for transportation
